Calendar & CRM Synchronization

Automatic lead creation, status updates, notes appending, and external routing to HubSpot, Zoho, and Freshsales.

Scheduling an appointment is often the highest-intent action a prospect takes. Domainchat connects your calendar and CRM into an automated pipeline: every appointment booked automatically creates or updates the attendee in the internal DC CRM, and dispatches to your external CRM of choice (HubSpot, Zoho CRM, or Freshsales) when connected.

1. Internal DC CRM Synchronization

Regardless of how the appointment was booked—via the website chat widget, a social messaging link (WhatsApp, Instagram, Telegram), or a direct booking page—the contact is captured into DC CRM:

1.1 Lead Status Initialized to NEW

Every appointment booking sets or maintains the contact's status as New Lead.
This ensures your sales team immediately sees the contact in the New Leads column on the Kanban board and at the top of the Leads table for timely outreach.

1.2 Historical Notes Preservation (Append, Never Overwrite)

When an existing customer books another appointment or consultation, their previous conversation history and notes are preserved.
The new appointment details (e.g. "Booked Product Demo on Tuesday, Sep 29, 2026 at 2:00 PM | Reason: Interested in enterprise license") are cleanly appended to their notes timeline.

1.3 Structured Details & Custom Fields

Appointments store structured details: service title, meeting start and end times, timezone, meeting location, and customer notes.
These fields are instantly searchable and can be filtered or exported to CSV spreadsheets at any time.

1.4 Visual Lead Inspector Appointment Card

Opening a lead in the Lead Inspector drawer displays a dedicated Booked Appointment card.
The card highlights the active upcoming appointment, start and end times in the event's timezone, attendee address, and a direct link to the workspace calendar.

2. External CRM Routing: HubSpot, Zoho, Freshsales

When you connect an external CRM under Workspace → Settings → Integrations, leads and appointments route automatically to your external platform:

CRM ProviderConnection MethodRecord Created / UpdatedNotes & Transcript Sync
HubSpot CRMPrivate App Access TokenContacts (Name, email, phone, company, address, marked as New Lead)Added directly to the contact activity timeline with booking notes & full transcript.
Zoho CRMOne-Click OAuth 2.0Leads module record with contact details and company nameNotes attached to the lead record with appointment times.
Freshsales / FreshworksCompany Domain & API KeyContacts module record with phone, email, and addressNotes attached to the contact profile.

2.1 HubSpot CRM Synchronization Highlights

HubSpot integration works smoothly with modern HubSpot accounts:

Private App Access Tokens: Connect securely using HubSpot Private App tokens without sharing your account password.
Required Permissions: In HubSpot, enable access for Contacts (Read & Write) and Notes (Write).
Smart Duplicate Prevention: If a customer already exists in your HubSpot database with that email, Domainchat automatically finds their existing record and appends the new booking to their timeline instead of failing or creating an annoying duplicate.
Reliable Delivery: If note attachment is restricted by custom CRM rules, contact creation still succeeds, ensuring your team never misses a lead.
Security Note: All API keys and access tokens stored for external CRMs are encrypted using enterprise-grade bank-level security before being saved.

3. Rescheduling & Cancellation Sync

When an appointment date or status changes, the updates propagate across all records:

Rescheduling: Updates the start time and date in the customer profile, appends the reschedule confirmation to notes, and refreshes the Lead Inspector card.
Cancellation: Retains the lead profile for future remarketing while clearing the active appointment badge and updating the lead timeline to record the cancellation.
