Live Feed & .ics Invites1. How Each External Calendar Works
Each calendar provider handles scheduling in slightly different ways. DC Calendar accommodates these differences so you can use your preferred device without having to change your daily workflow.
1.1 Google Calendar (Gmail & Google Workspace)
Google Calendar is the scheduling hub for millions of small businesses, agencies, and Google Workspace users. Connecting it gives you complete two-way synchronization between Domainchat and all your devices:
Step-by-Step: Connecting Google Calendar
- Go to your workspace and click Calendar in the left navigation sidebar.
- Click the Integrations tab at the top of the calendar dashboard.
- Click the Connect Google button located in the top header or in the Google card.
- Sign in with your Google account and grant calendar access permissions.
- Once connected, review the list of sub-calendars: check the boxes for all calendars that should block your free time, and confirm your destination calendar.
Disconnecting or Changing Your Google Account
Need to switch to a different Google account or disconnect? Simply click the Disconnect button next to Google in the Integrations tab. Disconnecting immediately stops syncing future events, but all your existing and past bookings in DC Calendar remain 100% intact and preserved.
1.2 Microsoft Outlook & Microsoft 365
Microsoft Outlook is the global standard for corporate, healthcare, legal, and professional service teams. DC Calendar connects securely to both personal Outlook.com accounts and corporate Microsoft 365 / Exchange accounts.
How to Connect Microsoft Outlook:
- Navigate to the Integrations tab in DC Calendar.
- Click the Connect Outlook button.
- Sign in with your Microsoft account (work, school, or personal).
- Confirm the permission prompt to enable calendar read/write access.
- Choose your conflict calendars and your primary calendar for writing appointments.
1.3 Apple Calendar (iPhone, iPad, and Mac)
Apple Calendar does not require giving your iCloud username or password to third-party services. Instead, DC Calendar uses Apple's native Webcal Live Subscription Feed alongside automatic calendar invitation attachments:
How to Connect Apple Calendar:
- Open the Integrations tab in DC Calendar.
- Scroll to the Apple Calendar section.
- Click Subscribe in Apple Calendar to subscribe directly, or click Copy Feed Link if setting up manually on an iPhone.
- In Apple Calendar, choose your preferred refresh frequency (e.g., Every 15 minutes or Every Hour) and choose a color for your DC Calendar events.
2. Connecting Three Calendars Simultaneously
A common question is: “Can I connect Google Calendar, Microsoft Outlook, and Apple Calendar all at the same time?”
Yes, absolutely. Many professionals use Microsoft Outlook for their 9-to-5 job, Google Calendar for their side business or family schedule, and check their iPhone's Apple Calendar on the go. DC Calendar is designed to handle this exact multi-calendar scenario effortlessly.
2.1 How DC Calendar Handles Simultaneous Connections
| Situation | How DC Calendar Handles It | The Result |
|---|---|---|
| Conflict Protection | DC Calendar scans busy hours across Google Calendar AND Microsoft Outlook before showing any time slot to a customer. | You are never double-booked, even if an event only exists in one of your calendars. |
| Writing New Bookings | You designate one calendar as your primary destination (for example, your Google Calendar). New appointments land there with all customer details. | No duplicates are created across other connected accounts. |
| Viewing on Mobile & Apple Devices | Your Apple Calendar subscription feed automatically streams all confirmed appointments straight to your iPhone, iPad, and Mac. | You see every appointment regardless of which device you are looking at. |
| Canceling from Your Phone | If you delete the appointment in your Google or Outlook app, DC Calendar immediately marks the booking as Cancelled, frees up your slot, and emails your customer. | You never have to log into Domainchat just to cancel a meeting. |
Real-World Example: Multi-Calendar In Action
Imagine you have an internal team meeting in Microsoft Outlook from 10:00 AM to 11:00 AM, and a personal dentist appointment in Google Calendar from 2:00 PM to 3:00 PM.
When a visitor opens your website chat at 9:30 AM to book a consultation, DC Calendar merges both schedules in real time. The visitor will see availability at 11:30 AM, 1:00 PM, and 3:30 PM — but 10:00 AM and 2:00 PM will be completely blocked. When they select 11:30 AM, the appointment is written to your primary calendar and instantly pings your iPhone.
3. How DC Calendar Works in WebChat and Social Omni-Channels
Your AI agent is not restricted to your website. Domainchat empowers your agent to book appointments natively across every customer communication channel.
3.1 Live Availability Everywhere
No matter where a customer speaks with your AI agent, the agent accesses your live, real-time schedule, taking all connected external calendars into account:
3.2 Automatic Customer Reminders & Timezone Handling
DC Calendar ensures that neither you nor your client ever misses an appointment:
4. The 5 Appointment Statuses Explained
Every booking in DC Calendar carries one of five clear, distinct statuses. These statuses help your team track what needs attention, what has taken place, and what was cancelled:
| Status | Color Indicator | What It Means | Action Needed |
|---|---|---|---|
| Confirmed | Emerald Green | The appointment is scheduled and active. The time slot is held, calendar events are synchronized, and the attendee has received their confirmation. | Prepare for your meeting at the appointed time. |
| Fulfilled | Sky Blue | The appointment date and time have passed and the consultation was completed. Fulfilled appointments remain in your calendar history forever so you can review past meetings. | No action needed; review past notes or follow up in DC CRM. |
| Unfulfilled | Rose Red | The scheduled time passed, but the attendee was a no-show or the consultation could not be conducted. | Admin can mark a missed booking as Unfulfilled with 1-click to accurately track customer attendance rates. |
| Pending | Amber / Orange | For paid appointments, the slot is provisionally held while the customer completes checkout. Or, an appointment awaiting manual approval. | If payment succeeds, it automatically converts to Confirmed; otherwise the slot is released. |
| Cancelled | Neutral Grey (Strike-through) | The appointment was cancelled by either the customer or the host. The slot is immediately returned to live availability for other clients to book. | You can view the cancellation reason directly in the booking details modal. |
Permanent History: Past Bookings Are Never Deleted
When an appointment concludes, it is automatically marked as Fulfilled and stays visible on your calendar view. Whether you look back three weeks or eight months, all historical appointments remain accessible so your team always has a complete record of every client interaction.
5. Attendee History & Journey Timeline
Do you have repeat clients who book multiple sessions across the year? DC Calendar includes a dedicated Attendee Journey & Timeline tool integrated directly into the calendar search box.
5.1 How to Search and View an Attendee's Journey
- Click the search box at the top of your Calendar view.
- Type any part of the customer's name, email address, or phone number.
- A dropdown will immediately appear showing all matching clients, their total appointment count, and their latest appointment status.
- Click on the client to open the Attendee Timeline Drawer.
5.2 What the Attendee Timeline Drawer Shows
6. Host Email Notifications & Smart Mute
By default, DC Calendar sends an email notification to the workspace host whenever a new booking is confirmed, rescheduled, or cancelled.
6.1 When to Turn On 'Mute Host Email Alerts'
If you connect Google Calendar or Microsoft Outlook, your phone and desktop calendar apps already send you native popup notifications and reminders for every new meeting.
To prevent notification overload and keep your inbox clean, you can toggle on Mute Host Email Notifications in the Integrations tab:
Quick Checklist for Getting the Most Out of DC Calendar
- Connect your Google or Outlook account to automatically block out personal busy hours.
- Subscribe via Apple Calendar if you use an iPhone or Mac to see all bookings on your lock screen.
- Use the Search Box on your calendar page to instantly look up any client's complete appointment timeline.
- Turn on Mute Host Email Notifications if you prefer getting notified only through your phone's calendar app.
