Audiences & Automated Follow-ups

Save your best lead segments for one-click reuse — and let quiet conversations get a polite second chance

Capturing leads is half the job; working them is the other half. These two features turn your DC CRM from a record of what happened into a daily to-do list: Saved Audiences bring back the exact segment you care about in one click, and Automated Follow-ups nudge promising leads who went quiet — automatically, and always inside the rules of each messaging platform.

Saved Audiences — Your Segments, One Click Away

The CRM filter bar lets you slice your leads by status (New, Contacted, Qualified, Nurturing, Closed), source (WhatsApp, Instagram, Facebook, Telegram, Website, Manual, CSV), score (Warm 40+, Hot 70+), search text, and the Leads / Social Visitors tab. An Audience is simply that combination, saved under a name.

Saving an audience

Set the filters the way you like them, then open Audiences → + Save current filters… in the filter bar, give it a name like "Diwali hot WhatsApp leads", and save. The preview in the save dialog shows exactly what's being captured — no surprises.

Using an audience

Open Audiences any time and click a name — the CRM instantly reloads that view: the right tab, status, source, score, and search text, with today's freshest leads included. Deleting an audience is one click on the ✕ (the audience disappears; the leads are never touched).

Example: you run a Diwali campaign across Instagram and WhatsApp. Once a day, your sales lead opens the CRM, clicks Audiences → "Diwali hot leads" (Status: Nurturing, Score: 70+, search "Diwali") and works exactly the people worth calling — new qualified leads appear in the list automatically. Audiences are live views, not frozen lists — they re-run against your current data every time you open them.

Automated Follow-ups — A Polite Second Chance

Most leads don't go cold because they lost interest — they got distracted. Automated follow-ups watch your social conversations, and when a chat that produced a captured lead has gone quiet for a few hours, your agent sends one friendly nudge on its own:

11:40 AM — Ravi goes quiet after a promising chat

The sofa is available in 3 colours and ships free this week. Want me to hold one for you?

3:40 PM — 4 hours of silence, auto follow-up fires

Hi Ravi! 👋 Just following up on our chat — if you'd like to move ahead or have any questions, just reply here. Happy to help!

Ravi replies → the AI picks the conversation back up instantly. No reply → he is not nudged again that day.

Turning it on

It's off by default. In the CRM, click Follow-ups in the header, flip the toggle, pick how long a conversation should be silent before nudging (2, 4, 6, or 12 hours), and optionally write your own message using {{name}} for the customer's first name. Save — done. The button in the header always shows whether it's on.

The guardrails (why this won't get your number banned)

Opt-in per agent: nothing is ever sent unless you switched it on.
Leads only: the chat must belong to a captured lead with contact details — never a bare visitor.
Inside the 24-hour window: nudges ride Meta's free customer-service window and stop 4 hours before it closes, so the customer can always reply back for free.
Once per day, max: one nudge per conversation per 24 hours — even a failed send counts, so nothing ever retries into spam.
Humans first: conversations under human takeover are never touched by automation.
Closed means closed: leads marked Closed are skipped.
Full paper trail: every nudge is recorded in the conversation transcript, marked as an automated follow-up.
All channels: works across WhatsApp, Instagram, Facebook, and Telegram conversations.
Write a nudge worth replying to. Reference what you were actually discussing — "Hi {{name}}! Still thinking about the grey sofa? I can reserve it till tonight 🛋️" beats a generic ping every time. Keep it to one or two sentences, and always end with an easy way to say yes or no.

How They Work Together

Follow-ups recover the leads you already earned while they're still warm; audiences make it effortless to review who's in each segment every morning. A simple daily rhythm: open your "hot leads"audience, call or message the top of the list, and let automated follow-ups cover everyone who went quiet yesterday. Together they're also the foundation for richer campaigns (like WhatsApp broadcast messages) arriving next.
