Lead Capture & Social Visitors

How every conversation becomes a contact — and every contact becomes a lead

DC CRM doesn't wait for someone to fill out a form. The moment a person messages your AI agent on Instagram, Facebook, WhatsApp, Telegram, or your website chat, a record is created for them automatically — with whatever identity the platform shares. From there, one simple rule decides where they live in your CRM.

Every Conversation Is Already a Contact

No setup, no Zapier, no exports. Each channel hands over a different slice of identity, and DC CRM saves it on first contact:

Instagram: handle, display name, profile picture, plus the post or ad that started the conversation.
Facebook: the person's Messenger name and profile, plus ad attribution when they come from an ad.
WhatsApp: their phone number and WhatsApp profile name — the moment they message you.
Telegram: username and first/last name from their Telegram account.
Website chat: an anonymous visitor ID that becomes a full contact as soon as they share details.
Everywhere: the full conversation transcript is attached to the record automatically.
Example: Priya comments "Price?" on your saree post. Before your team has even seen it, her card exists in the CRM — Instagram handle, profile picture, the post she came from, and the growing transcript. If she ever messages you on WhatsApp too, both conversations merge into the same record.

Social Visitors vs. Leads — The One Rule

The CRM has two tabs: Social Visitors and Leads. The rule that separates them is deliberate:

👤 Social Visitor

We know who they are on the platform — a handle, a profile, a chat history — but no way to reach them outside it. An Instagram handle or Facebook ID alone is not a lead: you can't email it or call it.

⭐ Lead

A name plus an email address or a phone number (either one qualifies). Now your team can actually follow up — email, call, WhatsApp — and the record moves to the Leads tab with full pipeline features.

WhatsApp is the exception that makes sense: a WhatsApp message is a phone number, and it arrives with the person's profile name. So WhatsApp contacts are saved straight into Leads on first message — you already hold their name and number, with their consent to be reached on it.

And the move is automatic: the instant a visitor shares an email or phone — through the interview, the website form, or just typing it in chat — their record graduates from Social Visitors to Leads. Nothing to click, nothing to migrate.

The Conversational Lead Interview

On social channels there are no form fields — so your AI agent conducts the capture as a natural chat. When the moment is right (someone shows buying intent, asks for a quote, wants the team to reach out), the agent offers with tappable buttons: "Yes, connect me" / "No, thanks". Only users who opt in are ever asked anything.

I'd love to connect you with our team! Please share your name to get started:
Meera Kapoor
Thanks, Meera! Now please enter your email address:
meera.k@example.com
Got it! Lastly, please enter your phone number (or reply 'skip'):

✅ Thank you! Your details have been received — our team will reach out to you shortly.

Built-in manners (and guardrails)

Never asks twice: the agent skips any question it can already answer — Facebook users aren't asked for their name, WhatsApp users aren't asked for their number.
Validation with patience: typos in an email, nonsense in a name — the agent gently re-asks (twice), then politely drops the subject rather than nagging. Accented and non-English names are fully supported.
Skip what's optional: a phone number or an email is enough — users can reply "skip" to the one they don't want to share.
Easy exit: "no thanks", "stop", or "cancel" ends the interview immediately and politely — while ordinary sentences like "I don't know my email offhand" keep it alive.
One and done: after a completed capture the agent never re-asks — the lead is flagged as captured for every future conversation.
Full paper trail: the entire Q&A is written into the conversation transcript, so anyone reviewing the lead sees exactly what was asked and answered.

WhatsApp: The One-Question Interview

WhatsApp already knows your customer's name and number, so the interview shrinks to a single question:

Thanks Ravi! What's your email address? (or reply 'skip')
skip
✅ Thank you! Your details have been received — our team will reach out to you shortly.

Ravi's lead is complete with his WhatsApp name and number — the email was optional garnish. One question, zero friction, and your team can call him five minutes later.

The Website Chat Form

On your own website the agent uses a proper form instead of an interview: when the conversation reaches the capture moment, a clean in-chat form appears asking for name, email, phone, and company. One submit and the lead lands in the CRM — same rule, same pipeline, same transcript.

The agent also listens while chatting: if a visitor simply types their email or phone number mid-conversation, it's captured automatically — no form needed.

Automatic Capture via DC Calendar Appointments

Booking an appointment is the ultimate high-intent lead conversion. When any visitor schedules a meeting — via the inline web chat calendar, a direct booking link, or a social messaging button (WhatsApp, Instagram, Telegram):

Instant Lead Creation: Full contact details (Name, Email, Phone, Meeting Address) are saved into your CRM.
Status Marked as New: Flags the lead as a New Lead so your team can prepare for the upcoming meeting immediately.
Non-Destructive History: New appointment details are cleanly added to their notes history without overwriting past conversations.
Lead Inspector Card: Active appointments immediately render inside the Lead Inspector drawer with calendar deep links.

What Gets Recorded on Every Lead

Source: WhatsApp, Instagram, Facebook, Telegram, website chat, or calendar booking — visible in the Leads table.
Capture method: interview, website form, typed-in-chat, or calendar booking, so you know how the contact was earned.
Ad & post attribution: leads from social campaigns carry the ad and post that created them.
Engagement score: intent and engagement signals scored automatically (see Bulk Actions & Scoring).
Full transcript & notes: every conversation and appointment note attached to the lead record.
Cross-channel identity: the same person on two channels stays one record with one history.
